Customize PDF Document for Quote or Order

The Proposal document can be customized and shared with the client. Note that customizing and creating PDF documents cannot be done while editing a quote or order. You must first Save.

Customize PDF

The customization process is the same whether you are working within an quote or an order. Options selected are sticky and will persist across devices, platforms, and logins.

  1. While viewing a quote or order tap customize_pdf_button.png.customize_pdf_step_one.png
  2. Adjust the Presentation of the document. Select a paper size and layout orientation.
  3. Select what content to include in the document including terms and conditions. (Terms and conditions are maintained through the RFMS Online Services web portal. For more information please see the article about Terms and Conditions.)customize_pdf_step_two.png
  4. Format the different elements of the document.customize_pdf_step_four_five.png
  5. Choose to create the PDF and enter the presentation screen, or choose to send it. (If you are using a Windows device you can choose Save PDF and download it.)

  Tip: Unchecking the box next to a line item will hide it. The line totals will persist even when select lines are hidden. The report option for "Show Line Amounts" will be automatically unchecked if a one or more lines are hidden.

Including Attachments

Among the options in the right side section are checkboxes for Include Photos and Include Files.

  • Individual images can be included or excluded and the layout can be selected for how many to include on a single page.

  • Individual files can be included or excluded. Only PDF files can be included at this time.

Show Job Information Show or hide sidemark (This is the sidemark that was entered in RM)
Show Subtotals Show or hide separate subtotals for Material and Services

Note: if this box is unchecked, line amounts and line price will be hidden as well.

Show Line Status

Show or hide the status of a line item

Show Line Notes Show or hide custom line notes under a line item
Show Work Order Line Notes Show or hide work order line notes under a line item
Show Line Groups Separate line items into their set line group
Show Custom Notes

Show or hide custom note made on the quote or order

Note: Internal notes cannot be included.

Show Payments

Show or hide Total Paid on orders

Show Pick-Up History

Show or hide pick-ups that have been made for items on the order

Show Salesperson Signature The salespersons signature can be obtained through the Sign and Authorize button. This checkbox will show or hide that obtained signature. 
Include Photos Select photo attachments to include with the PDF document
Include Files

Select file attachments to include with the PDF document

Note: Only PDFs can be included

  • If you try to put the company logo to the "left" side it will not allow your "company name" to be centered. It pushes it off centered and to the right by just enough to make the format really strange.
    The ability to center the "company name" would be really nice, as the invoice you create does not look right otherwise.
