Link Date / Link Stamp
Regarding sending quotes via "myflooringlink"
The link system in RFMS for online approvals is a fantastic feature, however unlike RFMS Core, you cannot save or go back to changes that have been made from the original link.
1. Is it possible to create a link history/ "stamp" to document the originally generated link vs changes that occur.
once a quote or order has been updated, the link stays the same and old versions are no longer exist.
2. and more importantly, I strongly encourage a link generation date clearly visible on the document. If I need to go back to an order and proove something was included or stated on an original link, that date could prove valuable.
Comments
It appears that some progress has been made in regard to link history. I notice that in generating the link there is an option to look at the history but the details are not fully shown. This has proven helpful for internally confirming that a client has revisited the document. (Picture linked for reference)
The problem now is I still have to go to the link generation page to view the history. If go to that page and forget to click all of the same boxes, it will affect what the customer sees because the link stays the same. If the client then revisits that link and the contents have changed, there are potential legal implications. Having someone sign off on a document is a binding agreement and its super risky if that gets altered.
Our approval process requires clients to confirm terms and conditions as well as acknowledgements of pre-installation documents before we allow scheduling. The links give us substantial recourse for customer service issues. I cannot risk this changing just because I tried to verify when they last opened the document.
Is there a way to view the link history without having to risk changes? Perhaps I just dont know where to look.
In all fairness, I do acknowledge that once an approved/signed quote link has been converted to an order, the signed document is included as an attacment on the order.
This attachment is static and can be referred to even if the link changes.
In using this system for the last year, I find that the clients dont often save the signed PDF version and will reference the original quote link if they raise issue. Also, once the ES has been converted to a CG, the history does not track on the CG.
